I.T.Co completed the first phase of BOSS-Referent system replication in public corporation «Quadra – Generating Company» (former public corporation «Territorial Generating Company №4» - TGC-4). As a result of the project «Quadra» gained the opportunity to speed up and improve paperwork quality within its distributed structure.
Public corporation «Quadra» is a large Russian energy company. Main areas of business are: electric energy production and transportation, and providing energy business management services. The company has a wide regional network, all offices are allocated across the Central Federal District. The company was restructured due to the change of ownership, some managerial staff were relocated to the Moscow office and as a consequence the company was faced with the problem of adjustment of general document workflow processes. In particular, the company required a complete file register catalogue and plenty of other catalogues, improved search engines, opportunities to carry out documents preparation and coordination procedures, to describe documents traffic routes. Additionally it was essential to organize the work of all branches within a common information area.
Before moving to specialized EDMS «Quadra» already used a portal solution for working with documents. However new stringent conditions for carrying out document flows evoked the necessity in a more up-to-date and powerful tool. On the other hand the customer was already experienced in working with Lotus products (as a platform for document management) and already employed Lotus IT-specialists.
Initially the BOSS-Referent system was implemented for 300 work places in the central office in Tula and in the Moscow office. Afterwards the system was spread out to one regional branch. The reason for the Tula office selection was that its IT-specialists had already participated in EDMS implementation in the central office. At this stage they added 200 more users to EDMS. Additionally the system implementation in the Tula office allowed for solving a primary problem – to adjust remote cooperation and communication within the suballocated information environment. This will definitely be useful in the frames of project extension and system replication.
«The subject of an up-to-date EDMS implementation was, as we can say, drawn to a head in our company. For us it became a critical question because on the one hand our company is in progress, we are opening new branches, on the other hand – the company’s management places strict requirements of unified and well-ordered processes of documents coordination. The implemented system helped us not only to establish general order in workflow processes but also to form document-oriented processes management, that is of prime importance for a distributed company» - noted Yury Kukushkin, Administrative Office Head in «Quadra». – «Results of the system operation not only satisfied but even exceeded our expectations. The system did the entire job and has already shown such performance indicators as reducing the average time of documents processing and the level of implementation standard control increasing. It is impossible for us to lose any documents now», - says Tatiana Ignatova, Head of EDMS implementation project in «Quadra».
Till the end of 2011 it is planned to replicate BOSS-Referent system to three more branches situated in Smolensk, Bryansk and Belgorod. Further, all the remaining regional offices will be involved into the system.
