Business Logics company (I.T. Group) had implemented "Logika SED" digital record system based on IBM Notes/Domino platform for RN-Bureniye.
Records system automation enabled safe and structured document storage with quick search, process event and action logging, and disciplinary control.
RN-Bureniye Ltd is based on Rosneft service establishments and aimed at optimization of core assets management structure in drilling services.
RN-Bureniye covers up to 50% of drilling for Rosneft. It's hare of Russian drilling market is about 6%, making it one of the largest Russian services in the industry.
Due to business expansion, establishing affiliates and founding regional branches, the volumes of document flow in RN-Bureniye have spiked considerably. Moreover, the document workflow between the HQ and regional branches was carried out via email. Lack of a digital records system and unified approach to record keeping became the bottleneck of the expansion. The management of the company had decided to implement a modern digital records system in every office.
Business Logics were awarded the contract due to their considerable experience in document flow automation in widespread organizations and have already had a history of successes with other Rosneft affiliates. Logika SED solution, based on IBM Notes/Domino platform, was chosen as the basis for the solution.
Business Logics specialists have carried out a detailed research of RN-Bureniye business processes, analyzed the standards and internal procedures and current and planned infrastructure of the company. Based on estimations of the condition the document workflow of the company was, requirements for the system were developed, as well as a new DRS architecture and a concept of its following development.
Specifically, Business Logic specialists have offered to optimize the procedures of working with internal and outbound correspondence, orders, guidelines, authorizations, contracts etc. Considering the specifics of the customer, it was offered to introduce processing of both digital and paper records, with the latter being only used when necessary.
After that, the DRS system was gradually implemented in the HQ in Moscow and in 8 branches in: Nefteyugansk, Irkutsk, Krasnoyarsk, Gubinskii, Usinsk, Grozny, Sakhalin, Krasnodar.
Finally, 819 RN-Bureniye employees were integrated into the environment, processing about 8000 documents each month.
Before the project, there were four streams of records (inbound, outbound, internal and contractual), each registered individually, and shared over email, which did not fit with required level of information security.
